Plan Your Event

Welcome to the Gathering by Chartwells! Our mission is to provide you with exceptional quality, exceptional service and a creative cutting-edge culinary experience. Our professional staff is available to assist planning your special event Monday – Friday, 9am -5pm. Please contact our dining services office at 336-272-7102 ext. 5311.

Policies & Procedures

To ensure optimal selection and the best possible service, we kindly ask that events be booked two weeks in advance. We understand events arise unexpectedly and we will do our best to accommodate your needs. Any event booked within 3 business days of the event will be subject to an addidtional $50.00 fee.

Guest Counts

We kindly request a confirmed number of guest be specified 5 business days prior to the event. This number is considered the guaranteed guest count. Should the number of guest in attendance exeed the number guaranteed, it will reflect in the final bill

Cancellation

We kindly request cancellations must be made 5 business days prior to contracted event date. If it is necessary to cancel, 50% of the latest guaranteed contract will become responsibility of the event contact.

Serviceware & China

All disposable serviceware will be furnished as accompaniment to all items purchased. Some exceptions apply to orders being picked up. We provide high quality disposable plasticware. China and glassware are avaliable for an additional charge of $5.00 per person for events held outside of the Greensboro Residence Hall. Events held inside the Greensboro Residence Hall will not incur china fees if china is requested.

Linen

Tablecloths are supplied for all food and beverage service tables at events. Tablecloths for non-food tables are available for an additional charge and request must be made in advance
The charges for standard linen are as follows:

-85” square tablecloths for seated tables $6.00 each
-120” round tablecloth for seated tables $9.50 each
-132” round tablecloths for cocktail tables $10.00 each
-90”x156” floor length banquet tablecloths $10.00 each
-Premium Spandex banquet table linen $20.00 each
-Premium fitted banquet table linen $20.00 each

Flowers

We will be glad to order special arrangements, special linen or decorative request for an additional fee.

Service Staff

For all served meals, there will be a one server per 20 guests
Server labor is charged at $19.50 per hour, per server with a 4 hour minimum
Bartender Fee is $150 for 4 hours

Alcoholic Beverage Set-Up

Greensboro College has a strict policy for serving alcohol. Please contact the Catering Department for additional information concerning alcoholic beverage service.

Billing & Payment

For all Greensboro College departments, a departmental account number and approved contract is due prior to the execution of the event. Each event contact will be invoiced via email and will have 5 days to review and contact Chartwells with any discrepancies. If Chartwells is not contacted withen the allotted time frame, a complete record of the event will be sent directly to accounts payable for payment.
If your event will be paid through personal or private funds, please be prepared to pay the balance 3 business days prior to the event date. Checks can be made payable to Chartwells Dining Services. Mastercard, Visa and American Express are also accepted.

Special Diets

Special Diets are accommodated upon request. We kindly request that your needs be submitted as soon as possible.

Meeting Room and Equipment

Please reserve all non-food related equipment by contacting Confernce and Event Services at 336.272.7102 ext. 5379. This will include room reservation, set and room configuration, audio visual and other general information. It is the guest’s responsibility to ensure facilities and rooms are unlocked for set-up, delivery and/or clean-up services.
